Lock your Ramadan dates two to three months before the first fast, matched to how each variety gets used: premium whole dates for welcome trays and gifting, mid-tier volume varieties for iftar service and retail packs. Ramadan is the single busiest window for dates in the UAE, and the businesses that sail through it booked variety, calibre and delivery slots while stock and pricing were still open.

Choose your calibre
Within a variety, dates are sized by calibre: the count per kilo. Fewer, heavier fruits read as more premium. Broad tiers:
- Jumbo / Super: the largest fruit, for trays and gifting where each date is on show.
- Large: the everyday premium size for retail packs and quality buffets.
- Medium: sound value for high-volume catering, cooking and mixes.
Spend on calibre where the date is seen whole and served singly. Drop a tier for anything chopped, stuffed after the fact, or served in bulk.
Decide the format
Format drives both cost and lead time, so settle it before you finalise quantities.
- Bulk cartons (5 kg / 10 kg): the base format for kitchens, catering and buffets. Cheapest per kilo, no retail packaging.
- Catering trays: portioned for banqueting and iftar buffets, quick to lay out at service.
- Retail packs: branded, weighed and sealed for the shelf, usually 250 g to 1 kg.
- Gift boxes: presentation packs for corporate and hospitality gifting, often mixed varieties, sometimes with stuffed or chocolate-coated dates.
Stuffed dates (filled with almonds, pistachios, walnuts or orange peel) sit at the premium end and lift a gifting range. They cost more per kilo and need earlier booking, so decide whether they earn their place before the deadline closes.
Plan quantities honestly
Look at last year’s movement by variety, then add a margin for growth and for the gifting spike in the final ten days. Dates hold well when stored cool, and running out mid-season costs far more than carrying a little extra. Split your order: a firm base volume booked early to guarantee supply and price, plus a smaller top-up you can call off during the month as you see real demand.
A few habits keep the forecast realistic:
- Weight your mix to the last ten days. Gifting and corporate orders cluster before Eid, so premium varieties often need a bigger buffer than everyday lines.
- Separate service dates from gifting dates. Buffet Sukkari and boxed Medjool move at different rates, and a single blended forecast hides both.
- Price the base early and keep the top-up flexible. Locking the bulk of the volume protects your cost before demand tightens supply, while the call-off portion absorbs the surprises.

Custom packing, private-label retail packs and gift boxes need the most lead time. Flag them first, because artwork, approval and production won’t compress into the final week.
Handle premium dates chilled
Soft, high-moisture varieties like Medjool and Sukkari keep best cool. Hold premium and gifting stock chilled to protect texture and colour through the UAE heat, and to preserve shelf life. Confirm your supplier ships temperature-controlled for those lines. Drier varieties are more forgiving, but heat and humidity still shorten their window, so keep all stock sealed and out of direct sun.
Confirm the paperwork
Halal and origin documentation should be part of the order, especially for retail listing and re-export. Ask for it up front with the spec sheet, not after delivery.
